MegaTrack controls your printing costs

MegaTrack & MIPA

Control and audit your printing costs
on HP LaserJet printers

MegaTrack gathers, evaluates and presents
the information you need to control printing costs.

MegaTrack
Whether you are managing an installed printer base, or planning a printer implementation, knowing your printing costs is the essential first step to maximizing the return on your printer investment and minimizing the total cost of printer ownership.

However the flexibility of distribution and usage that contributes to an effective workflow makes it difficult to track who is printing what, not to mention where, when and why.
And, even if you manage to gather the information you still have the trouble of consolidating the figures to get a meaningful picture that you can use for further decisions.

MegaTrack monitors printers connected to local and remote print servers to provide you with comprehensive and statistical information on usage and costs – broken down according to the department, cost-center, group or even employee or printer – to help you optimize printer deployment, workload and the purchase of printer consumables.

How MegaTrack works
The MegaTrack print-server (MPS) monitors the printers attached to as many local and remote Windows NT/2000/XP and 2003 print-servers as necessary. It scans the print jobs and queries the printer to compile detailed information on printer usage.

By analyzing this information MPS calculates a cost per page based on a detailed printer profile that includes toner and media cost, depreciation and a host of other factors. The result is accurate information for each print job (colour, duplex mode, economode ...).
The central MegaTrack database-server (MDS) consolidates the information collected at the individual print-servers. Then MegaTrack webserver software (MWS) prepares detailed, customized reports, combining graphics and text that show you the composition of your printing costs.

These statistics and reports can be accessed and administered from anywhere in your organization, using a web-browser. They can also be exported into MS Excel with only one click, or automatically sent by e-mail.

Characteristics
  • Monitors, tracks and reports all network printer activity (Postscript and PCL)
  • Accurate document and pages information (media type and size, duplex, economode, colour or monochrome …) for a finely tuned cost per document and detailed user/printer information
  • Detailed cost analysis (for example, number of monochrome pages in a colour document …)
  • Captures network HP LaserJet/mfp printer + SecureJet™ walk-up copy activity
  • Designed to work in medium-sized and multinational companies – featuring web-based management and reporting, for access across the intranet/extranet/internet
  • Features more than 180 built-in reports about cost, users, devices and documents
  • Scheduled report generation, automatic results sent via email, single click export to Excel
  • Allows you to select only the printers you want to track and to assign the cost profiles for each printer, all you need to do is assign the cost profiles for each printer
  • Tracking and reporting is totally transparent to users and requires no client/workstation applications
  • Quota feature which allows you to limit the number of printed pages per user

Areas of Application
  • MegaTrack is the easy way to monitor, allocate, and ultimately, optimize your printing costs. By monitoring print-servers it provides you with comprehensive and statistical information on printer usage and the cost of printing – by domains, groups, employees or printers.
  • When used in conjunction with the SecureJet printing solution, MegaTrack can also track walk-up copying and digital sending activity on your mfps.

Special Features
  • Multi-currency management
  • Multi-language interface and reports in English, French, German, Spanish, Czech, Russian, Polish, Dutch and Chinese
  • Billing/allocation code pop-up window for local printer tracking for Windows NT/2000/XP workstations
  • Asynchronous architecture for a fully scalable solution on multiple Windows NT/2000/XP/2003 printservers covering an unlimited number of printers with negligible effects on printing speed and LAN bandwidth

MIPA and MIPA PIN
The MegaTrack In Printer Agent (MIPA) lets you record and monitor HP LaserJet printer and MFP activity directly at the device, enhancing accountability and giving you the ability to assign costs, forecast expenses and target waste and abuse. By collecting data directly inside the printer or MFP, MIPA gives you a precise accounting of printing functions. Because this “in printer” solution is not reliant on SNMP traps or MIB polling, MIPA offers improved accuracy and reliability over other tracking and data collection systems. Each time the printer or MFP finishes printing a document, MIPA collects important data about the job and records it to either the printer’s hard disk or to a small amount of compact flash memory. The data can then be accessed and uploaded by the MegaTrack Reporting Tool (MTR), providing meaningful analysis of printer and MFP activity. Paired with HP DSS or Capella Technologies MIPA Pin or VeriUser authentication solutions, MIPA can also record scan, copy, fax and other digital sending activities.
Secure your printer output and digital sending activities with the MegaTrack In-Printer Agent with PIN-code access (MIPA PIN).

MIPA PIN is the easy way to
  • Restrict unauthorised personnel from using printers and mfps
  • Safeguard sensitive and proprietary documents by monitoring digital sending (faxing and scan to e-mail) activities
  • Prevent misuse and waste by promoting personal accountability
  • Allocate printer costs by employee, department, project or cost centre
  • Track usage and forecast expenses
MIPA PIN tracks printer and mfp usage directly inside the device, offering improved accuracy and reliability over SNMP traps and MIB polling methods. Each time the printer or mfp is used, MIPA PIN collects important data about the job and records this data to either the printer’s hard disk or to a small amount of compact flash memory. This data can then be accessed and uploaded using the MegaTrack Reporting Tool (MRT), providing an easy way to track printer and mfp usage by user, department, project or cost center.
Additionally, administrators can track consumption of paper and toner, colour vs. black and white print use and more, helping to better forecast future printer and consumable requirements.
