SafeCom Billing

Recover billable expenses from print, copy, scan,
e-mail and fax jobs

SafeCom Billing is an application where users can associate a billing code with any print and copy job. Based on the billing code and the job information tracked by the SafeCom Billing solution subsequent cost recovery is now easier than ever.

SafeCom Billing
On devices with an internal SafeCom solution, such as HP LaserJet mfps (Multi Function Printers), it is possible to recover billable expenses from not just print and copy jobs, but also from fax, scan and e-mail jobs. As companies and organisations focus on print and copy costs, they should not forget that some of these costs can be recovered as billable expenses.
An engineering company may want to track how much is being printed and copied in connection with the different projects and use this to invoice accordingly. A law firm for example may want to invoice clients for printing and copying.

How SafeCom Billing works
The association of billing code and job happens after the job is completed and is done by the user via a convenient personal SafeCom Billing web page. The web page offers easy selection with unlimited personal favorite billing codes and ready access to the 10 last used billing codes. Global search on billing code and description is also possible and prevents use of undefined codes.

As a service to the user a reminder can be sent by e-mail, when it is time to select billing codes. The e-mail includes a direct link to the personal SafeCom Billing web page where the user’s jobs are listed in chronological order with job date, job type, device name and number of pages. To assist the user’s memory, print jobs appear with document title, scan jobs appear with their destination folder, e-mail jobs appear with the subject and e-mail address of the receiver and fax jobs appear with the fax number of the receiver.
The user can choose to receive reminders as soon a job completes, or when job completes and there are the specified number of unbilled jobs. During periods with no billable jobs the user can disable the reminder.

The SafeCom Billing web page concept gives users a consistent and easy to use device independent interface for associating billing codes with the different job types. Correcting a previous choice of billing code is also accomplished through the same interface. As a result users can work effectively and MFPs are freed up faster as the process of choosing billing codes is not done at the MFP, but at the user’s computer.

SafeCom Billing only requires software to be installed on a Windows server. Setup can be limited to adding or modifying one or more shared printers.
